    SMU Coach & Share Reports

This guide is for: Dealers, Area Managers, Sales Directors, AVPs

    Introduction

For those using Docebo’s Coach & Share module, you can generate Coach & Share reports on various experts, assets, and channels in your platform. These reports allow you to have a better picture on the social learning trends occurring with your learners. On the main reports page, there are three standard reports dedicated to Coach & Share: Expert Summary, Asset Summary, and Channel Summary. Additionally, you can create a custom report for user contributions and find some Coach & Share data in user reports.

To access the main reports page, log into your platform as the Superadmin, then access the Admin Menu from the gear icon on the top right. Then, in the E-Learning section, press the Reports item. Let’s take a look at each kind of report.

    Expert Summary

If you want to generate statistics about the performance of a specific expert in the platform, find the Expert Summary section on the top of the main Reports page. Then, type in the name of the expert for which you’re wanting to generate the report, select the full name from the drop-down menu that will appear below the text box, then press the red Generate button.

You will then be redirected to the expert’s report. At the top of the report, you will find data regarding when the user was appointed as an expert, the last access date, to which channels this user is assigned as an expert. The expert activity is divided into two tabs: Coaching Activity and Peer Review Activity. You can switch between the two tabs to view the different statistics.

In both tabs, you can use the Timeframe filter to choose whether you want to view weekly, monthly, or yearly stats. In the Coaching Activity tab, you can view an overview of statistics for the coach’s answers as well as a history of expert activity by time and by channel, and rankings of the expert’s answers in regards to:

    • Quality. Number of best answers, liked answers, or unsatisfactory answers provided
    • First-to-Answer. How many times this user was the first expert to answer a question
    • Participation. How many total answers this expert has provided.

In the Peer Review Activity tab, you will again see an overview of statistics for the expert’s reviewed assets as well as a history of expert activity by time and by channel, and rankings of the expert’s reviewed assets in regards to:

    • Participation. How many total assets this expert has reviewed.
    • First to Review. How many times this user was the first expert to review an asset.

    Asset Summary

If you want to generate statistics about a specific asset uploaded in the platform, find the Asset Summary section on the top of the main Reports page. Then, type in the name of the asset for which you’re wanting to generate the report, select the full name from the drop-down menu that will appear below the text box, then press the red Generate button.

You will then be redirected to the asset’s report. The asset statistics are divided into four tabs: Overview, Social, Ask the Expert, and Invitations. In all tabs, you can use the Timeframe filter to choose whether you want to view weekly, monthly, or yearly stats.

In the Overview tab, you can see the total number of views with a timeline as well as the average ranking of the asset. Please note that the number of views of an asset in the Asset Summary refers to the number of different users who viewed that asset, so if the same user viewed that asset twice, the number of views is incremented only by one unit, not two.

In the Social tab, you can see the total number of invitations sent with a corresponding timeline.

In the Ask the Expert tab, you will find the total numbers for questions, answers, best answers, answer likes, and answer dislikes with a graph representing the timing for questions and answers.

In the Invitations tab, you can see the total number of invitations sent, the global watch rate, the average reaction time (how long it takes a user to watch the asset from the time the invitation is sent), a comparison between invitations sent and number of views, as well as individual invitations sent with the details for each invitation.

    Channel Summary

If you want to generate statistics about a channel, find the Channel Summary section on the top of the main Reports page. Then, type in the name of the channel for which you’re wanting to generate the report, select the full name from the drop-down menu that will appear below the text box, then press the red Generate button.

You will then be redirected to the channel’s report. The channel statistics are divided into three tabs: Overview, Questions and Answers, and Experts. In all tabs, you can use the Timeframe filter to choose whether you want to view weekly, monthly, or yearly stats.

In Overview tab, you will find numbers representing assets, contributors, askers, average asset ratings, Shared assets versus total channels and unpublished assets, and shared assets against the number of total assets in all of the channels combined. You can also see graphs representing published assets and views on the channel. Please note that the number of views of an asset in the Channel Summary refers to the total number of views of that asset, so if a user viewed that asset twice, the number of views value is incremented by two units.

In the Questions and Answers tab, you will find numbers representing the total number of questions, answers, and best answers in the channel as well as a comparison of peer reviews and Q&A activities as compared to the rest of the channels in the platform.

In the Experts tab, you can find a list of Experts in the channel along with a ranking of the most active Experts for both the Coach & Share perspective (including their own statistics).

    Custom Coach & Share Reports

To create a custom report for certain Coach & Share features, press the Create Custom Report button. In the pop up box, type the name of your custom report in the corresponding text box, then find the Coach & Share Reportssection to select which you want to create:

    • Assets – Statistics
    • Experts – Activity
    • Channel – Statistics
    • User – Contributions

Then press the Next button to continue. Depending on what type of custom report you are trying to create, you then need to select whether you want to select all or a specific set of assets, experts, channels, or users. If you flag the option to select a specific set of one of the four categories, a list will appear asking you flag what you want to be included in the report.

When you’ve finished selecting your criteria, press Next. Decide the date range for which you want to filter the data, then select which specific fields and statistics will appear in your report using the checkboxes below. When you’re ready, press the Next button again.

Finally, select how you want to order your report using the corresponding dropdown menu and flag whether the data will appear in ascending or descending order, then press Next one more time. You’ve now created your custom report. Like all reports, you can now choose how to proceed by scheduling, saving, or showing the report. When viewing the report, you can export it using the Export drop-down menu at the top of the page, then selecting in which format you want to export the file.

Coach & Share in User Summary Reports

When you generate a user summary report, you will see three tabs relating to Coach & Share activity: Questions & Answers, Sharing Activity, and Assets Summary. In all tabs you can use the Timeframe filter to choose whether you want to view weekly, monthly, or yearly stats.

The Questions & Answers tab will provide an overview regarding quality, quantity, and timing of both questions and answers. The Sharing Activity tab provides an overview of the number of shared assets, views, and watch rates. Finally, the Assets Summary tab provides a list of all assets uploaded by the user, ranking them in terms of views, rating, invitations, watch rate, and reaction times.

    Download and Print Reports

To download and print an Asset, Expert, or Channel Summary report, generate the report using the processes described above. Once the report is generated, you will see the option to Download the report as a PDF and print the report. Press this option to proceed with the action.
